In the police academy, recruits quickly learn that writing under pressure is a skill that takes practice, precision, and presence of mind. Because when the adrenaline wears off, your words are what remain.


1. Reconstruct the Scene Step-by-Step

Start by painting a clear picture of the call—from the moment you arrived to the final outcome. Focus on what you saw, heard, said, and did.

Tip: Use a chronological format. Anchor your narrative in specific timestamps or actions to keep things organized and accurate.


2. Use Plain Language, Not Police Jargon

Your audience includes prosecutors, judges, and possibly a jury. That means your report needs to be clear and easy to follow.

Tip: Swap out acronyms or codes with plain English. “He fled on foot,” is always better than “Subject 1-80’d.”


3. Include Sensory Details

What did you smell? What tone did the suspect use? Were there signs of fear or aggression? These details humanize the incident and help readers visualize it.

Tip: Avoid exaggeration. Stick to objective, factual observations that can be supported by your bodycam or witnesses.


4. Stay Objective, Not Emotional

Even when the situation was tense or disturbing, your report needs to be professional, not personal.

Tip: Use neutral phrases like “the individual stated” instead of “he lied.” Let the facts show the behavior—don’t editorialize.


5. Proof It Like a Prosecutor Will Read It

Because one likely will. Spelling errors, missing info, or confusing narratives reflect poorly on your credibility.

Tip: Always reread your report before submission. Better yet, have a peer review it during training. A second set of eyes can catch what you miss.
